How your AI Follow-Up Rep works

Your enquiries. Your permission. Your rep on the phone.

In short: EastSherman's AI Follow-Up Rep calls back enquiries from one reviewed source of your own. Each contact needs recorded, reviewed permission for an AI call. The queue is checked every five minutes during your approved calling hours. The rep answers approved questions, offers your booking link or records a team request, and logs outcomes in your portal.

Customers get busy. Quotes get buried. A helpful call can uncover a question, restart a project, or bring a past customer back. This page walks through exactly what happens, from the moment you connect your enquiry source to the moment you read the outcome in your portal: what you provide, what gets checked, what your rep says, and what it won't do.

Source → Permission review → Queue (checked every five minutes, approved windows) → Call (approved answers, booking link or team request) → Portal + team email

The five stages of every EastSherman callback.

Three steps to your first callback

01 Review your enquiry source.

Connect one reviewed source from your own business. Each callback needs recorded permission for the configured AI call and review before it can proceed. A quote or past purchase alone is not consent.

What you provide: your own enquiry source, recorded AI-call permission for each contact, approved business answers, offers and local calling hours, plus an actual booking link or team destination. One reviewed source is included with your plan. Purchased lists are excluded, so every contact comes from your own business.

02 Approve the approach.

Choose the campaign, call times, and what your rep can say or offer. Give it your service details and booking rules.

This is where you decide what your rep is allowed to say. It answers only the questions you approve, using your business details. You also choose your persona, Maya or Miles, and we tailor the greeting, tone, approved answers, and business details to you. Your setup team reviews permissions and tests the configured source and tools; you approve the exact setup in your portal before activation.

03 Let your rep make the calls.

Eligible callbacks run from a bounded queue during your approved calling hours. Your rep answers approved questions, offers your booking link or records a team request. You review the outcome in your portal.

Calls don't go out the instant an enquiry lands. The queue is checked every five minutes, up to five jobs per run, during your approved calling windows. Timing is not guaranteed. Outside your window, a callback waits.

What happens when a new enquiry comes in

Someone requests a callback through your own reviewed source. Once their AI-call permission is reviewed and the source is tested and enabled, the callback can enter your approved queue.

  1. Enquiry arrives. Your reviewed first-party source sends the enquiry and recorded AI-call permission. Purchased lists are excluded.
  2. Check, then call. Each contact permission is reviewed before dispatch. The bounded queue checks service, allowance and your calling window; outside that window, it waits.
  3. Get a useful next step. Answer approved questions, offer your booking link or record a caller request. The AI does not confirm a calendar booking.

One reviewed source is included. Callbacks are checked every five minutes, up to five jobs per run; timing is not guaranteed. We test and approve the source, permissions and calling hours before enabling it.

How consent is checked before every call

What counts as permission

Every contact needs recorded permission for the configured AI call, and that permission is reviewed for each contact before the call can go out. A quote or past purchase alone is not consent. Open quotes, past purchases or an uploaded list alone do not authorize AI calls. Purchased cold lists are excluded.

Why it works this way

In Declaratory Ruling FCC 24-17 (released Feb 8, 2024), the FCC confirmed that AI-generated voices count as an "artificial or prerecorded voice" under the Telephone Consumer Protection Act, so calls that use them require the prior express consent of the called party.

When uncertain calls are held

Callbacks are queued, not instant; uncertain calls are held for review. If something about a contact or its permission isn't clear, the call waits instead of going out.

What your rep says, and what it won't do

What it does

  • Calls eligible enquiries from your approved first-party source during your approved hours.
  • Answers the questions you've approved, using your business details.
  • Offers your booking link, or records a team request so your people can follow up.
  • Speaks as Maya or Miles, the AI persona you choose during setup. Your choice. Same service. Same price.

What it won't do

  • Confirm a calendar booking. The AI does not confirm a calendar booking; it offers your link or records a request.
  • Text or email your customers. Customer SMS and automatic customer email sequences are off.
  • Call purchased or cold lists. Purchased cold lists are excluded.
  • Call outside your approved calling windows.
  • Answer questions you haven't approved. Anything outside your approved answers becomes a team request.

What you see afterward

Every outcome lands in your private portal, which keeps a 30-day private call history and requests. Your team also gets email notices. Completed-call notices link to your private portal. Separate caller-request notices may include the caller-supplied details your approved team needs.

Minutes and limits, in brief

Your plan includes 600 connected AI voice minutes (10 hours) each month. That could cover 100 calls averaging six minutes; actual counts depend on duration. We alert you at 80%, 90% and 100% of accounted usage. New callbacks pause when time is used or reserved, and there are no automatic overage charges. Unused minutes do not roll over. Plans are $197/month for one business, with no setup fee. See full pricing.

The same process works for any home-service business with its own consented enquiries. See how it fits roofing contractors, HVAC companies, and remodelers and general contractors.

Frequently asked questions

Will it call new enquiries automatically?

Connect one reviewed first-party source and test it before enabling callbacks. Each enquiry needs recorded permission for the configured AI call and review before dispatch. Eligible callbacks are checked every five minutes, up to five jobs per run, during approved windows. They are queued, not instant; uncertain calls are held for review.

Will it actually call customers?

Yes, after your source, each contact permission and exact configuration pass review and testing. Your rep calls eligible enquiries during approved hours and records the outcome. Open quotes, past purchases or an uploaded list alone do not authorize AI calls. Purchased cold lists are excluded.

Can I upload my old customer list?

Not on its own. Open quotes, past purchases or an uploaded list alone do not authorize AI calls. Past customers can be called only if each one gave recorded permission for the AI call, and that permission is reviewed before the call. Purchased cold lists are excluded.

Does the AI book appointments?

It answers approved questions, offers your booking link or records a team request. The AI does not confirm a calendar booking.

What do I need to provide?

Your own enquiry source, recorded AI-call permission for each contact, approved business answers, offers and local calling hours. Supply an actual booking link or team destination. Your setup team reviews permissions and tests the configured source and tools; you approve the exact setup in your portal before activation.

Does it text customers?

Customer SMS and automatic customer email sequences are off. Completed-call notices link to your private portal. Separate caller-request notices may include the caller-supplied details your approved team needs. There is no enabled SMS add-on in this beta.
