AI follow-up calls for landscaping quotes and past clients
EastSherman's AI Follow-Up Rep calls landscaping customers who gave recorded permission for an AI call, such as homeowners with an open patio or design quote, or past clients returning for a new season. It answers approved questions and offers your booking link or records a team request. It costs $197/month for 600 minutes.
Your crews are on site. The callbacks still happen, within the hours you approve.

Why landscaping quotes stall
Landscaping bids rarely die because the homeowner said no. They stall because life, budgets and the calendar get in the way, and nobody in the office has time to ask again.
Design and hardscape bids take time to decide.
Patios, retaining walls and full installs are big projects. They come with budget conversations at the kitchen table, HOA reviews and a second or third bid. The homeowner might be weeks from a decision, and a polite check-in at the right moment can keep your bid in the running.
Spring enquiries arrive when you have the least time.
The phone rings while everyone is on a job. New requests pile up, and the quotes you sent two weeks ago never get a second call. By the time you catch up, the homeowner may have moved on.
Last year's clients don't rebook on their own.
Seasonal cleanups and maintenance renewals depend on someone asking. Many clients would happily book again if they heard from you. With EastSherman, you only call clients who gave recorded permission for the AI call.
What the AI Follow-Up Rep does for a landscaping company
Works through consented enquiries from your own source.
You connect one reviewed source from your own business, such as your quote request form or client list. Each contact needs recorded permission for the AI call and is reviewed before a call can go ahead. The queue is checked every five minutes, up to five jobs per run, during your approved calling windows. Timing isn't guaranteed. Read how the callback queue works.
Answers what you approved.
You decide what your rep can say: your service area, whether you offer design consultations, or a seasonal offer you've approved. Pricing questions you haven't approved become a team request. The AI doesn't quote prices, measure or design anything.
Offers your booking link for the site visit, or records a request.
When the homeowner is ready, your rep offers your booking link for a site visit. If they'd rather talk to someone, it records a team request. The AI does not confirm a calendar booking.
Outcomes in your portal and inbox.
Every call shows up in a 30-day private call history in your portal, and your team gets email notices.
Spring rush: more enquiries, same rules
Your plan includes 600 connected minutes (10 hours) a month. Treat that as a monthly budget. Point it at your warmest consented quotes first: the patio bid from last week, the design client who asked you to check back, the maintenance client who agreed to hear about spring service.
You get alerts at 80%, 90% and 100% of your minutes. There are no automatic overage charges, so when the minutes run out, calls stop for the rest of the month instead of billing you more. It's sized for one business's own follow-up, not unlimited volume.
When the season changes, so does your message. A new fall cleanup offer or updated hours is a campaign update you request. Changes are reviewed and tested before they go live.
Example: a patio quote callback
Example call (illustration). Your rep uses your approved answers. Bracketed text is a placeholder for your own wording.
Miles (AI rep): Hi, this is Miles, an AI assistant calling for [Your Landscaping Company]. You asked us for a quote on a paver patio last month. I wanted to see where things stand.
Homeowner: We like the design, but we're waiting on our HOA to approve it.
Miles: That makes sense. Would you like someone from our team to check back with you once you've heard from them?
Homeowner: That would be great.
Miles: I'll pass that along as a request. I can also send you our booking link, so you can pick a time for the next site visit when you're ready.
Homeowner: Sure.
Miles: Done. Good luck with the HOA, and thanks for your time.
The request shows up in your portal, and your team gets an email notice.
Who it fits, and who it doesn't
| Fits | Doesn't fit (yet) |
|---|---|
| Design-build, hardscape, and maintenance companies with their own quote form or client list that records AI-call permission | Companies that want texting or email drips to clients |
| Owners who want past clients asked about the new season, with permission | Calling purchased lists or door-hanger response lists without AI-call permission |
| One business, about 10 connected hours a month | Multi-branch operations that need Aspire, LMN, or Jobber sync |

Getting permission right on your quote request form or client agreement
EastSherman only calls people who gave recorded permission for the configured AI call, and every contact is reviewed. A quote or past purchase alone is not consent. Purchased cold lists are excluded. That includes mailer and door-hanger responses unless the person recorded AI-call permission and passed review.
A practical suggestion: put clear, separate AI-call permission language on the form or intake step where clients ask you for work, or in your maintenance agreement. Don't bury it in your terms.
Why the care? The FCC treats AI-generated voices as "artificial or prerecorded voice" under the TCPA, so those calls need the called person's prior consent (FCC Declaratory Ruling FCC-24-17). That's why the review step exists. Talk to your own attorney about your forms. This isn't legal advice.
You set your calling hours too. As general context, federal rules bar telephone solicitations to homes before 8 a.m. or after 9 p.m. in the customer's local time (47 CFR 64.1200).

FAQ
Can it call last season's maintenance clients about spring service?
Only clients who gave recorded permission for the AI call and pass review. A past purchase alone is not consent.
Can it give a price for a new patio or install?
It only gives answers you have approved. Pricing questions you haven't approved are recorded as a request for your team.
Will it schedule the estimate visit?
It offers your booking link or records a team request. The AI does not confirm a calendar booking.
Can we change the offer when the season changes?
Yes. You can request campaign updates when services, offers, or hours change. Changes are reviewed and tested before they go live.
Does it work with Aspire, LMN or Jobber?
Integrations are not listed. The setup is one reviewed source from your own business, and new sources or integrations may require a separate agreement.
What happens if we use all 600 minutes in a busy month?
Calls stop for the rest of that month. There are no automatic overage charges, you get alerts at 80%, 90% and 100%, and unused minutes don't roll over.
