AI follow-up calls for plumbing estimates that went quiet
EastSherman's AI Follow-Up Rep calls back plumbing customers who gave recorded permission for an AI call, such as homeowners with an open water heater or repipe estimate. It answers approved questions, then offers your booking link or records a request for your team. It isn't an emergency line. It costs $197/month for 600 minutes.
If you need someone to answer burst-pipe calls at 2 a.m., this isn't that. This is for the callback days later.

Why plumbing estimates go quiet
The emergency call is the easy part. Someone's basement is wet, they call, you go. The work that slips is what comes after, when the pressure is off and the homeowner has time to think.
The emergency got patched, so the replacement waits.
You stopped the leak. The old water heater is still limping along. The quote for a new one sits in their inbox, and every week it keeps working makes the replacement feel less urgent.
Big-ticket quotes get a second opinion.
Repipes, sewer line work and gas line jobs are big decisions. Homeowners get two or three quotes and compare them. When they pick someone else, or decide to wait, nobody calls back to say no.
Someone else has to say yes.
A landlord, property manager, spouse or HOA has to approve the job. The homeowner means to circle back after that conversation, and then forgets.
None of these customers said no. Most just never heard from you again.
Emergency calls and follow-up calls are different jobs
Think of plumbing calls in two groups.
The first call needs answering or dispatch right now. A person, an answering service or an AI receptionist handles that. Speed matters, and so does getting a tech on the road.
The follow-up call is a scheduled callback to someone who already asked you for work. Nobody is standing in water. The job is to ask whether they're still thinking about it, answer a question or two, and give them an easy next step.
EastSherman's AI Follow-Up Rep only does the second job. It doesn't answer inbound calls, and it doesn't dispatch anyone. If missed inbound calls are your bigger problem, read AI receptionist vs AI follow-up rep to see how the two tools differ.
What the AI Follow-Up Rep does for a plumbing company
Calls only consented, reviewed customers from your own source.
You connect one reviewed source from your own business, such as your estimate request form. Each contact needs recorded permission for the AI call, and each one is reviewed before a call can go ahead. The queue is checked every five minutes, up to five jobs per run, during your approved calling windows. Timing isn't guaranteed. Outside your calling window, it waits. See how the callback queue works.
Answers the questions you approved.
You decide what your rep can say. That might be whether haul-away of the old heater is included, or which towns you serve. These answers only work if you supply and approve them. Anything else, like a question about a specific repair, becomes a request for your team. The AI doesn't diagnose problems, give repair advice or quote prices.
Offers your booking link or records a request.
If the homeowner is ready, your rep offers your booking link. If they'd rather talk to someone, it records a team request. The AI does not confirm a calendar booking, so your schedule stays in your hands.
You see every outcome.
Every call shows up in a 30-day private call history in your portal, and your team gets email notices.
Example: a water heater replacement callback
Example call (illustration). Your rep uses your approved answers. Bracketed text is a placeholder for your own wording.
Maya (AI rep): Hi, this is Maya, an AI assistant calling for [Your Plumbing Company]. You asked us for a quote on a new water heater a couple of weeks ago. Are you still thinking about it?
Homeowner: We are, but honestly the price was higher than we hoped. Can you do any better?
Maya: I can't change the price myself, but I can ask the owner to call you about it. Would that help?
Homeowner: Yes, please.
Maya: I'll pass that along as a callback request. And when you're ready to set up the install visit, I can send you our booking link. Would you like that too?
Homeowner: Sure, send it.
Maya: Done. Thanks for your time.
The request and the outcome land in your portal, and your team gets an email notice. Your owner makes the price call, not the AI.
Who it fits, and who it doesn't
| Fits | Doesn't fit (yet) |
|---|---|
| Residential service and replacement plumbers with their own estimate form or enquiry list that records AI-call permission | Shops that need 24/7 emergency answering or dispatch |
| Owners who'd rather follow up by phone than by text | Teams that want texting or email drips to customers |
| One business, around 10 connected hours of calls a month | Multi-location operations that need ServiceTitan or Housecall Pro sync, or more minutes |
| Owners willing to approve answers and calling hours up front | Anyone hoping to call purchased or cold lists |

Getting permission right on your estimate request form
EastSherman only calls people who gave recorded permission for the configured AI call, and every contact is reviewed. A quote or past purchase alone is not consent. Purchased cold lists are excluded.
A practical suggestion: put clear, separate AI-call permission language on the form or intake step where homeowners ask you for work. Don't bury it in your terms.
Why the care? The FCC treats AI-generated voices as "artificial or prerecorded voice" under the TCPA, so those calls need the called person's prior consent (FCC Declaratory Ruling FCC-24-17). That's why the review step exists. Talk to your own attorney about your forms. This isn't legal advice.
You also choose your calling hours. As general context, federal rules bar telephone solicitations to homes before 8 a.m. or after 9 p.m. in the customer's local time (47 CFR 64.1200).
What it costs
$197/month pricing covers one business with 600 connected minutes (10 hours) a month. That could cover 100 calls averaging six minutes; actual counts depend on duration. Practice calls count.
Yearly is $1,967 billed upfront, which works out to $163.92/month. Save $397. No setup fee.
There are no overage charges and no rollover. You get alerts at 80%, 90% and 100% of your minutes. Plumbers pay the same as everyone else.

FAQ
Can it answer emergency calls or dispatch a plumber?
No. The AI Follow-Up Rep makes queued callbacks to consented enquiries. It doesn't answer inbound calls or dispatch anyone. For inbound answering, you'd need an AI receptionist or answering service, which is a separate tool.
Can it call customers who got a water heater quote from us last month?
Only if they gave recorded permission for the AI call and that permission is reviewed. A quote or past purchase alone is not consent.
How fast does it call back?
The queue is checked every five minutes, up to five jobs per run, during your approved calling windows. Timing is not guaranteed, and uncertain calls are held for review.
Will it book the job into our schedule?
It offers your booking link or records a request for your team. The AI does not confirm a calendar booking.
Does it connect to ServiceTitan or Housecall Pro?
The setup is one reviewed source from your own business. CRM integrations are not listed, and new sources or integrations may require a separate agreement.
Does it text customers?
No. Customer SMS and automatic customer email sequences are off in this beta. Your team gets email notices, and outcomes are in your private portal.
What does it cost?
$197 a month for one business with 600 connected minutes, or $1,967 billed yearly. There is no setup fee and no overage charges, and unused minutes don't roll over.
